When crafting an email to send to more than one person, it is sometimes helpful to make it specific to the recipients. You can use merge tags to enter a person's name, title, party, chamber, or other bits of information that are personal to the reader.
In the "Compose Message" section of the email creation page, start writing your email. From the "Merge Tags" dropdown in the toolbar, you will see a list of fields that you can use to fill in your message. When selecting a merge tag, you will see the placeholder for the text within brackets. Here is a list of available merge tags and their placeholders:
| Merge Field Selection | Merge Field Placeholder |
| Staff First Name | [STAFF_FIRST] |
| Staff Last Name | [STAFF_LAST] |
| Staff Title | [STAFF_TITLE] |
| Official Title | [OFFICIAL_TITLE_FULL] |
| Official First Name | [OFFICIAL_FIRST] |
| Official Last Name | [OFFICIAL_LAST] |
| Official Party | [OFFICIAL_PARTY] |
| Chamber | [CHAMBER] |
| State Represented | [STATE] |
| District Represented | [DISTRICT] |
| Office Address | [OFFICE_ADDRESS] |
| Office Address 2 | [OFFICE_ADDRESS2] |
| Office Room No | [OFFICE_ROOM] |
| Office City | [OFFICE_CITY] |
| Office State | [OFFICE_STATE] |
| Office Zip Code | [OFFICE_ZIP] |
For example, if you wanted to reach out to all staffers to verify the office address of the representative that they currently work for, you could compose something like this:
When you send your message, it will be filled out with the corresponding information for the recipients of the message.
Using mail merge tags can enhance your message by addressing the reader specifically. The platform will automatically populate the fields with the related information when the message is sent out.
Tips:
- We recommend using at least two merge tags in an email to make it feel more personalized for the recipient.
- Give your emails a personal touch but avoid overusing the same merge tags. For example, if you’ve already used the recipient’s name in the opening, you likely don’t need to use it again.
- Always check (and re-check) that the merge tag you’re using is the correct one for your message.
Note: When sending a blast / mass email to multiple recipients, the system will auto-populate based on the recipient from the List or Individuals
